All about that label on your machine

Today, we’re going to talk about something that few, if any really think about: The equipment badge on your copier.


WHAT IS AN EQUIPMENT BADGE: The equipment badge is what helps your copier dealer identify equipment that they provide service for. On a CopyLady machine, the badge is fairly simple. It bears the Equipment ID (Known as an E Number), Our phone number (239-939-5383), and our website address (www.copylady.com). Note that on some machines, this Equipment ID is on it’s own separate badge from the branding.

These badges help us identify:

* The make and model of your equipment
* The serial number of your equipment
* The customer that this machine has been provided to
* The address of the building the machine is located in (Handy if you have more than one location with a CopyLady machine)
* The coverage provided by your contract
* The location of your equipment within your business (This is extremely handy if you have more than one CopyLady machine)
* The supplies your CopyLady machine requires.
* Any special notes regarding the location or equipment (Such as lunch hours, access instructions, etc)


WHEN CALLING COPYLADY FOR SERVICE: Always have your machine’s Equipment ID ready! This will assist our help desk staff in quickly locating your equipment, allowing you to receive assistance much quicker. After all, there’s nothing that can slow down a service call more than not having the required information ready.


WRITE THAT NUMBER DOWN: Just don’t rely 100% on that note, especially if you’ve recently upgraded your equipment! Equipment IDs are non-transferrable. When you upgrade your equipment, you will have a whole new ID to give when you call us. When in doubt, Simply look at the front of your machine when you call us!


WHERE IS MY EQUIPMENT ID: That depends on what type of machine you have. Generally, the badge is located on the front of your equipment. Here’s where to find the badge on each type of machine:

* Floor Models: You will find your ID badge either on the right side of your toner access cover, OR on the cover just below it. If your machine has the CopyLady badge in the center of the toner door, the ID badge will be on the bottom right corner of the front service cover.

* Desktops: You will find the ID badge on the front of the machine.

* Wide Format Plotters: The badge will appear on the front center or right of the machine. Some models will feature this label on the top right side of the machine, near the control panel.


WHY DO I NEED TO KNOW THIS: When you need to call CopyLady for service, providing the ID number of the equipment you’re calling about will help us in giving you the best service possible, as this ID tells us everything we need to know about your machine. Of course, you can also tell us your company name, but if you have more than one machine, or more than one location, things can get a bit tricky.

This also applies when we ship supplies (toner, ink, etc) for your machine. The items shipped will have your machine’s Equipment ID marked on the packaging. This should be kept with the equipment it is labeled for to avoid any confusion. After all, if you run out of toner due to a misplaced replacement, you will be required to locate it. If you cannot locate it, we will ship you another one, but you will have to pay for the replacement.

If your machine needs parts, This will also help our field technicians ensure they have the proper components with them to repair your machine.


WHAT IF MY MACHINE DOES NOT HAVE AN ID BADGE: We will ask you some questions about your equipment, such as make and model. We will also ask you to provide a serial number. This helps us confirm that your equipment is on an active CopyLady service contract. Our tech will then apply a replacement ID badge upon their visit.
